Workspace tags let admins define a fixed set of tags, like "Hot lead", "Follow up", or an event name, that everyone on the team can apply to contacts. Instead of each person inventing their own labels, your team works from one shared list, and that consistency carries straight through to your CRM.
What you can do
Create a shared list of tags that every team member can use to label contacts
Apply workspace tags to a contact right after a card share, or any time from the contact record
Add a colon in a tag name, like "Event: Expo", so related tags share a clear prefix and are easy to spot in your list
Keep tagging consistent across your team, since only admins and the workspace owner control the shared list
Sync workspace tags automatically to your connected CRM as their own dedicated field, separate from personal tags
Remove a tag whenever it's no longer useful, it's removed from every contact it was applied to
Who can use this
Available on Business and Enterprise. Admins and the workspace owner can create, edit, and remove workspace tags. All team members can apply existing workspace tags to contacts, alongside their own personal tags, but only admins and the owner can add or delete tags from the shared list.
How to use it
Create workspace tags (admins)
Log in to your dashboard on a desktop or tablet browser.
Go to Settings, then click the Tags tab.
Click into the Add tag search field and type a tag name your team will recognize, for example Hot lead, Follow up, or your event name.
Save the tag. It's now available to your whole team.
Repeat for each tag you want your team to use.
Naming your tags
Name a tag whatever your team will recognize. Everyday names like "Hot lead" or an event name work as you'd expect, and you can now use common punctuation too, so names like "Sales & Marketing" or "Alice's leads" are fine. Punctuation you can use includes:
Ampersands (&)
Apostrophes (')
Colons (:)
Parentheses ( )
Percent signs (%)
If you type a character that isn't allowed, Blinq shows a message listing which punctuation you can use. Remove the flagged character and save again.
Apply a tag to a contact (all team members)
Open the contact you want to tag, either right after a card share or later from your contact list.
Click or tap Add Tag.
Select one or more workspace tags from the shared list. You can also add your own personal tags at the same time.
Tip: Keep your tag list short and specific. A handful of tags your team actually uses beats a long list nobody remembers to check.
Why it helps
When everyone tags contacts the same way, your reporting and CRM filters actually mean something. You can find everyone from a specific event, every hot lead, or anyone flagged for follow-up in one click, instead of untangling a dozen different naming conventions.
FAQ
Is there a limit to how many workspace tags we can create?
Yes, a workspace can have up to 100 workspace tags, shared across your whole team.
Does adding a colon in a tag name group tags together?
No. A colon is just part of the tag name, so a tag like "Event: Expo" is still its own individual tag. It doesn't create a folder or group; the colon simply makes related tags easier to scan in your list.
Can team members create their own workspace tags?
No. Only admins and the workspace owner can add or remove tags from the shared list. Team members can apply existing workspace tags to contacts, and can still create their own personal tags for their own use.
What happens if I delete a workspace tag?
It's removed from every contact it was applied to across the workspace, not just from the shared list.
