Calendar Booking: let leads and reps book meetings from Blinq

Turn a scan into a booked meeting. Admins set calendar links once on a template or card, and they surface automatically in the shareback flow and on every contact, so a lead can book a time on the spot and a rep can book from any contact!

Calendar Booking closes the gap between meeting someone and getting time on the calendar. An admin decides which booking links are available and which one shows when a card is shared, and from then on the booking option appears automatically for the whole team. Reps don't configure anything.


What you can do

  • Let a lead pick a meeting time during shareback, right after they fill in your lead form.

  • Let reps book a meeting from any contact, using the calendar icon on the contact page.

  • Set booking links once at the template level and have them apply to every card on that template.

  • Override the template on a single card, or turn booking off for one person.

  • Connect Chili Piper for a native, in-app booking experience, or paste a booking URL from Calendly, HubSpot, Google, or Outlook.


Who can use this

Calendar Booking is available on Blinq Business and Enterprise, for all team workspaces. Setup is admin-only.

Admins create and assign calendar links from the dashboard. Individual members can't create, edit, or manage calendar links, they only use the links an admin has assigned.


Two kinds of calendar links

When you add a booking option, you choose between two types of link:

  • Manual link: paste any booking URL and give it a label. Calendly, HubSpot, Google, and Outlook all work from day one, with no build needed. Manual links open in a browser window over the app, so the experience is slightly less seamless, and a manual link can't automatically detect when a booking is made.

  • Native link: connect Chili Piper (with an API key and calendar selection) to get Blinq's own in-app calendar with real availability. It renders directly in the flow and is the most seamless option. Chili Piper is the only native provider today.

Calendar links are workspace objects, so you paste a link once and reuse it across templates. Editing a link updates it everywhere it's used, and the dashboard shows you where that is.


Set up Calendar Booking (admin)

  1. In the Blinq dashboard, go to Settings, then select the Calendar links tab.

  2. Click + New calendar link.

  3. Select either Use Chili Piper (native), or Use other scheduling link.

  4. If using other scheduling link: click Continue, input the name of your link and the link to your chosen schedule.

  5. Click Save link.

  6. Select the calendar link you've just setup, and choose which template you'd like to attach the calendar link to, then click Attach.

  7. Head to Team Templates in the left-hand sidebar, then click Edit.

  8. Click into the Calendar links tab, the click on the Choose a link dropdown button on the right of your first booking step, under "After a scan".

  9. Alternatively, click on the + Add calendar link button and add an exisitng link, or new calendar link.

  10. Optional: to connect Chili Piper, go to Settings > Integrations then add Chili Piper under 'Calendar integrations'.


How booking works

For the lead, during shareback: after they scan a card and fill in the lead form, they're offered a time to book before they finish. A native (Chili Piper) calendar renders in the flow. A manual link opens the provider's page in a browser window, which they close when they're done. A lead does not need a Blinq account to book, as long as a calendar has been set to show in shareback.

For the rep, from a contact: open any contact, tap the calendar icon, pick a link, and book. Afterward, Blinq asks "Did you book a meeting with this contact?" so the booking can be recorded. A rep only ever sees the links they have access to: the template's links plus their own email-matched calendar. They never see another member's calendar or another template's links.


FAQ

Does the person booking need a Blinq account?
No. During shareback, a lead who doesn't use Blinq can still pick a time from your calendar, as long as you've set a calendar to show in the shareback flow.

Which calendar tools does Blinq support?
Chili Piper is the native, in-app integration. Calendly, HubSpot, Google, and Outlook are supported as pasted booking links.

Can a rep add their own calendar link?
Not in this version. Admins manage all links. A rep sees the template's links plus their own calendar, matched by email.

Do I need a lead form for the calendar to show?
Calendar Booking and lead capture are independent switches. Without a lead form, nothing shows in shareback, but the calendar still appears on the contact page.

How do I turn booking off for one person?
Set No link on that person's card. A card's setting beats the template.
